The Personal Assistant provides administrative and operational support to the CEO, with responsibility for managing schedules, coordinating activities, preparing materials for meetings, and tracking follow-ups across business processes. This role plays a key part in supporting the CEO’s day-to-day effectiveness, ensuring priorities are well-coordinated, tasks are executed on time, and ongoing activities are managed in an efficient and organized manner.
In this role, you are responsible for
- Support day-to-day operational and administrative activities of the CEO
- Serve as a key point of coordination between the CEO and internal and external stakeholders
- Manage the CEO’s calendar, including prioritization and resolution of scheduling conflicts based on business needs
- Proactively identify gaps, anticipate needs, and take initiative to support the CEO’s priorities
- Ensure the CEO’s time is effectively utilized by proactively managing reminders and preparing all necessary materials, context, and logistics ahead of meetings and key activities
- Prepare materials for meetings, including gathering relevant data, presentations, and background information. Document key discussions and share clear meeting notes with relevant stakeholders
- Support business development activities by managing follow-ups, coordinating next steps, and ensuring timely execution of actions related to prospects and partnerships
- Work closely with internal teams to coordinate activities, follow up on tasks, and ensure alignment and timely execution across functions
- Plan and manage domestic and international travel, including logistics (flights, accommodation, transportation), meeting coordination, and agenda planning
- Handle sensitive and confidential information with a high level of discretion, professionalism, and sound judgment
- Assist with personal tasks and errands as needed
To succeed in this role, you’ll need
- 2+ years of experience as a Personal Assistant or Executive Assistant
- Experience supporting senior executives (C-level or equivalent) – must
- Excellent organizational and time management skills, with the ability to prioritize effectively in a fast-paced, dynamic environment
- Strong communication and interpersonal skills, with the ability to work with multiple stakeholders across the organization
- Proactive, detail-oriented, and able to anticipate needs and take initiative
- Ability to manage multiple tasks simultaneously while maintaining attention to detail
- High level of discretion, integrity, and reliability
- Fluent English (written and spoken) – must
- Experience working in a tech environment – advantage
